Frequently asked questions

What & Why

  • The dashboard is an online data visualisation tool that provides South African education officials with fast data uploads, near real-time education insights, single sign-on capabilities, one-touch filtering, increased security and more. It is also mobile-friendly.

In 2022 the dashboard was redesigned to take advantage of the latest in data visualisation software and cloud-based technologies.

  • Registered users can access all the relevant education data in their entity (province/region/district/circuit/cluster/school) and below. Selected users with Personal Information (PI) access can also view individual learner and educator details.

Information can be filtered on screen to show specific planning and operating information (school, learner, educator and enrolment counts) as well as pass rates, progressed learners and more. This includes, for example, attendance statistics, task marks, promotions and NSC pass rates per grade/subject/school/district/province per term, tracked over time. Users can also view a comparative view of attendance and task marks, measured against goals and targets.

Access & Use

  • Any official of the South African Department of Basic Education (DBE) who has authorised permission from their manager, can apply to have a DDD Dashboard user account.

  • DBE officials gain access to the dashboard by submitting a completed and signed DDD user access form to the DDD Helpdesk (Help@dbedashboard.co.za). Once approved, you will receive a username and password for accessing the dashboard via the login button on the top right corner of this website.

  • Your username will always be Firstname.Surname@dbedashboard.co.za.

If you have logged onto the dashboard before, you can re-set your own password by following the steps in this self service guide. Alternatively, you can contact the DDD Helpdesk on help@dbedashboard.co.za for assistance.

  • Yes. The data that is uploaded to the DBE’s SA-SAMS system by education officials for any school, is what’s reflected on the DDD Dashboard. View the data journey here.

Training

  • All first-time users are encouraged to register to attend a login webinar, hosted by the DDD training team, to help them get started. These webinars are communicated to users via email and on this website's home page. Alternatively, online courses available to all registered users via the DDD online Learning Hub.

  • Users can navigate the dashboard on their own. However, it is advised that all users register for the weekly webinars conducted by the DDD team to help them navigate and access advanced insights quicker, and more easily. Users can also complete online training in their own time, via the DDD online Learning Hub.

  • All DDD users automatically have access to the Learning Hub. Users can access the Hub directly via this link, where you will be prompted to log in with your DDD username and password. If you are already logged in to the DDD Dashboard, you can access the Learning Hub by clicking the relevant button on the dashboard’s main menu.

  • Training recordings are stored on the DDD Learning Hub, in the “Courses” section, under “DDD Webinar Recordings and Content”.

  • DDD offers a “master trainer” programme for DDD users who want to train other DBE colleagues in their province, as well as a DDD Champion Principals programme for school principals. Officials can reach out to their DDD provincial manager for more information (click here for their details) or email the DDD Helpdesk.

DBE & SA-SAMS

  • Building on a decade-long collaboration, DDD continues to work alongside SA-SAMS to deliver deep analytics, trends and data insights based on SA-SAMS data. Together DDD and SA-SAMS will continue to leverage best practices and adapt to new technologies that benefit South African learner outcomes.

Technology

  • The dashboard has been built using Microsoft Azure Services, one of which is Power BI, a sophisticated cloud-based analytics tool that delivers rich, interactive insights.

The DDD project has also updated the dashboard’s back-end systems to Microsoft's Azure cloud platform (specifically databases, analytics models and visualisation tools) to take advantage of better security, cost-effectiveness, and performance.

    • While cloud platforms and services are hosted and delivered via different countries all over the world, DDD uses Microsoft Azure's regional cloud hosting services that reside within South Africa. All systems have been configured to meet all relevant regulatory requirements, including POPIA, to ensure appropriate data privacy and security.
